Accommodations Policy

Purpose and Commitment

This policy establishes Bridge to Life’s commitment to providing equal access and reasonable accommodations for individuals with disabilities in accordance with the Americans with Disabilities Act (ADA), Section 504 of the Rehabilitation Act, and other applicable federal, state, and local laws. We are dedicated to creating an inclusive environment where all individuals can participate fully in our programs, services, and activities.

Scope

This policy applies to all employees, contractors, visitors, clients, students, and members of the public who interact with our organization during professional development activities, workshops, courses, and events offered by Bridge to Life. This includes those for which continuing education credit (e.g., ASHA CEUs) is awarded.

Non-Discrimination Statement

Bridge to Life does not discriminate against individuals with disabilities and is committed to providing equal opportunities in employment, services, programs, and activities. We will not exclude, deny benefits to, or otherwise discriminate against any qualified individual with a disability.

Policy Statement

Bridge to Life will make reasonable accommodations to ensure individuals with disabilities can fully participate in professional development activities. Accommodations are provided on an individualized basis and may include, but are not limited to:

  • Accessible course materials (large print, electronic formats, Braille)
  • Captioning or sign language interpretation
  • Assistive listening devices
  • Extended time for assessments or activities
  • Physical accessibility modifications (ramps, seating arrangements, room adjustments)
  • Other reasonable adjustments based on participant needs

Requesting Accommodations

Notification: Participants requiring accommodations should notify Bridge to Life at least 3 weeks prior to the scheduled activity whenever possible.

Submission Process: Need for accommodations should be indicated on the participant registration form. A Bridge to Life team member will then reach out to the participant within 1 week of the request to gather details of the accommodations required.

Documentation: Bridge to Life may request relevant documentation to determine appropriate accommodations. Documentation will only be used to facilitate accommodations and will be kept confidential.

Responsibilities

Participants: Must communicate accommodation needs in a timely manner and, if requested, provide appropriate documentation.

Bridge to Life Staff: Must respond promptly, maintain confidentiality, and work collaboratively with the participant to implement accommodations.

Continuing Education Administrator: Oversees requests, communicates with facilitators, and ensures accommodations are implemented effectively.

Confidentiality

All information provided in connection with an accommodation request will be kept confidential and shared only with individuals directly involved in implementing the accommodation.

Grievance Procedure

If a participant feels that a requested accommodation was not appropriately addressed, they may submit a written complaint to the Executive Director within 30 days of the event. Complaints will be reviewed, and a response will be provided within 20 business days.

Policy Review

This policy will be reviewed annually and updated as necessary to reflect changes in legal requirements, industry standards, and organizational needs.  

  

Archive viewing

How long do I have to watch the archive? 

All sites must finish watching the archives by July 31, 2026. 

ASHA Continuing Education Information

The 2026 AAC by the Bay Conference will be held both in-person and live-streamed. Both in-person and live-streamed are eligible for ASHA CEUs.

In the near future, archives of some sessions will be available online for a fee. Archive sessions will not be available for ASHA CEUs at this time.

Complaints Policy

Purpose

Bridge to Life strives to maintain a positive working relationship with our clients, their family and teams. At Bridge to Life, we are committed to providing high-quality services and welcome feedback to help us improve. If you are unhappy with any aspect of our service, please let us know. We take all complaints seriously and aim to resolve them promptly, fairly, and confidentially. 

Complaints Process

You can make a complaint in any of the following ways: 

  • In person: Speak directly to a member of staff or ask to speak with a member of the management staff 
  • By phone:  650-696-7295 ext. 400 
  • In writing: Send a letter to Bridge to Life, 880 Mitten Rd #110, Burlingame, CA 94010 

We encourage you to raise concerns and discuss the situation with the appropriate personnel. However, if preferred, you may also contact the Chief Executive directly in order to discuss your concerns.  

If you are not satisfied with the given response, or would prefer a documented complaints process, a complaint can be submitted in writing, including: 

  • Your name and contact details 
  • Details of the issue (who, what, where, when) 
  • What outcome you would like 

We will acknowledge your complaint within 5 working days. 

A member of the management staff or designated team member will investigate the issue. 

You will receive a full written response within 20 working days. If the investigation takes longer, we will keep you updated with reasons for the delay and a new expected response date. 

If you are unhappy with the outcome, you can appeal in writing within 10 working days of receiving our response. A member of the management staff or director, not previously involved, will review your complaint and provide a final response within 20 working days

All complaints will be handled sensitively and confidentially, and only those who need to know will be involved in the investigation. 

We record all complaints and monitor them regularly as an opportunity to learn, adapt, improve and provide better service.

Group Registration

How do I register as a group? 

The group lead should register first and submit the group payment of $500 for a single day or $1,000 for both days. https://www.bridgeschool.org/outreach/aac-by-the-bay/group-reg/. This lead will receive the invitation link to join the webinar.

After payment goes through, the group lead will receive an email with coupon codes and next steps. There will be a coupon code for 4 additional people to register at no additional cost. The initial attendee that registers as the group counts as the first participant. A second coupon code will be provided to the group lead for additional people beyond the first five to register at the discounted group rate of $100 per day. The coupons are site-specific so any additional participants will be associated with the group lead’s site. 

Record Retention Policy

Purpose

This policy establishes procedures for maintaining, safeguarding, and disposing of all records associated with professional development activities offered by Bridge to Life. This includes information collected in relation to the course development and design as well as participant data.

Scope

This policy applies to all Bridge to Life professional development activities including, but not limited to, workshops, courses, presentations and webinars. The policy applies to all personnel responsible for recording and maintaining participant information and documentation.

Types of Record Maintained

Bridge to Life will retain the following records for each course:

  • Course registration records including promotional and instructional materials
  • Needs assessment data and analysis
  • Course Instructor and planner disclosure documentation
  • Participation registration data – including participant information such as full name, contact details and ASHA ID (if appropriate)
  • Participant sign-in sheets, rosters, or electronic attendance records
  • Participant completion records (including assessment results and record of satisfactory completion for CEU eligibility)
  • Verification of learner eligibility and CEU intent to earn
  • Post-Course evaluation forms and analysis
  • Copies of reports submitted including roster corrections
  • Participant complaints and appeals documentation including documentation of all outcomes and resolutions

Back-up Records

All records will be backed-up and accessible in case original documentation is unavailable through damage, corruption or error.

Retention Period

The following retention periods have been identified for all records relating to professional development activities:

  • Participant records (including rosters, sign-in sheets, reporting and completion verification) will be retained for 4 years following the end date of the course.
  • Course-related materials (agendas, promotional brochures, instructor qualifications, and CEU reporting documents) will also be retained for 4 years following the end date of the final offering of the course.
  • After 4 years, participant records will be securely destroyed, unless legal, regulatory, or contractual requirements mandate longer retention.

Confidentiality and Security

  • Records will be stored in a secure, access-controlled environment (locked filing cabinet for paper records and password-protected database or cloud storage for electronic records).
  • Access is restricted to staff with direct responsibility for training administration and CEU reporting.
  • Participant data will not be shared outside of ASHA CE Registry submissions except as required by law.
  • Contact information may be used to promote further professional development activities from Bridge to Life, but will not be shared outside of the organization for promotional reasons.

Responsibilities

  • For courses registered with ASHA and offering CEUs, the CE Administrator at Bridge to Life is responsible for maintaining compliance with this policy, including secure storage, timely reporting to ASHA, and appropriate destruction of records.
  • All staff handling participant information must adhere to confidentiality and data protection practices outlined in this policy.

Policy Review

This policy will be reviewed annually and updated as necessary to reflect changes in legal requirements, industry standards, and organizational needs.  

Refund Policy

If you need to cancel your registration, written notification must be received on or before April 1st, 2026 and a refund will be issued for the full registration fee. No refunds will be approved after April 1st.
